GuidesHow to Track Donor Pledges, Plus a Pledge Card

How to Track Donor Pledges

A donor pledge is a promise to give a set amount, either on a future date or in installments over time. A donor might pledge $5,000 to your building fund, to be paid as $1,000 a year for five years. A pledge is a commitment, not a payment, so it needs tracking: who promised what, how much has been paid, and what is still due.

This guide covers how to track pledges in six steps, what belongs on a pledge card, and how to collect payments without chasing donors.

Pledges vs. Recurring Donations

The two are easy to confuse, and your reports should keep them apart:

  • A pledge is a commitment to a total amount. It ends when the total is paid in full.
  • A recurring donation or membership continues until the donor changes or cancels it.

Pledges are common in capital campaigns, annual funds, and special projects. Recurring gifts are common for ongoing support. Many organizations use both.

How to Track Donor Pledges in 6 Steps

1. Record every pledge the day it is made

For each pledge, write down the donor, the total amount, the payment schedule, the campaign or fund, and the date. A pledge that lives only in someone's memory or an email thread will be forgotten.

2. Use a pledge card

A pledge card is a short form the donor fills out. Put these fields on it:

  • Donor name, address, email, and phone
  • Total pledge amount
  • Payment schedule: one payment, monthly, quarterly, or annual, plus the start date
  • Payment method: card, bank transfer, or check
  • Campaign or fund the pledge supports
  • A line for recognition preferences, such as list my name or give anonymously
  • Signature and date

Here is a template you can copy:

PLEDGE CARD - [Organization name], [Campaign name]

Name: ______________________ Email: ______________________
Address: ____________________________________________

I pledge a total of $__________ to [Campaign name].

I will pay: [ ] In full on ____________
             [ ] Monthly [ ] Quarterly [ ] Annually
             Starting ____________ for ____ payments

Payment method: [ ] Card [ ] Bank transfer [ ] Check

[ ] Please list my name in donor recognition
[ ] I wish to give anonymously

Signature: ______________________ Date: ____________

3. Be clear about what a pledge means

Most pledges are a moral commitment, not a legal contract. Say so plainly on the card or the giving page, and ask your attorney or accountant how pledges should be recorded in your financial statements. Accounting treatment varies, so this guide does not give advice on it.

4. Set up automatic payments where you can

The best way to collect a pledge is to not have to ask for it again. When a donor pays by card or bank transfer, set the schedule up once and let each installment process automatically. Pledges paid by check need a reminder before each due date.

5. Send a reminder before each payment

For donors paying by check or other manual methods, send a short note a week before each installment is due, with the amount and how to pay. For automatic payments, a brief your installment will process on the 1st message prevents surprises.

6. Review open pledges every month

Once a month, list every pledge with a balance. Look for payments that are late or failed. Reach out personally, since a missed payment is usually a lapsed card or a busy month, not a change of heart. Thank donors when a pledge is paid in full.

Pledge Tracking Software vs. Spreadsheets

A spreadsheet works for a handful of pledges. It stops working when you have dozens of donors, multiple campaigns, or multi-year schedules. Look for software that can:

  • Store the total, the schedule, and the balance for every pledge
  • Collect installments automatically by card or bank transfer
  • Record check and cash payments against the right pledge
  • Count pledges toward your campaign goal
  • Show projected income from open pledges

Track Pledges on MemberDrive

MemberDrive supports pledges with automatic recurring payments. Donors see a pledge option on your giving page and can pay by card or bank account, or send a check. Pledges count toward your campaign goal, and when a pledge is paid in full, its payments stop. You can record a pledge payment made by check or cash, and see projected income from active pledges.

Read how pledges work, see all features, or start your first campaign. MemberDrive charges 1% of each card or bank payment, nothing on Bitcoin, and no monthly fee. See pricing.
