What's New: Faster payment recording and recorded gifts that count toward matches

MemberDrive Team

Hey Fans! This one is for anyone who records checks and cash by hand. Recording a Payment is faster, a recorded gift can now count toward a Matching Gift, and every dashboard page got the same cleanup as the new organization dashboard.

Recording a Payment, rebuilt around the task

"Who gave?" comes first. The New Payment form starts with a live Member search, then asks what the gift is for (a one-time gift, a Pledge with a balance left, or a Membership), the amount and date received, how it was paid, and its status. Picking a Pledge or Membership fills in the installment amount for you. Check fields only show up when the method is Check.

Save and record another. Entering a stack of checks after an event? The form remembers the date and method so you can move straight to the next one.

Errors you can actually see. If a save fails, the problem now shows right on the form instead of disappearing. On the Member page, the Record modals for Payments, Pledges, Matching Gifts, and Notes close after a save and the new item shows up in Activity.

Recorded gifts can fill a Matching Gift

Say a supporter has pledged to match gifts 1:1 up to $1,000, and someone hands you a $100 check. The Payment form now has a Matching Gift picker that lists active matches with room left, so that check counts toward the match. Once the match reaches its limit, MemberDrive creates the matcher's Pledge and sends their invoice, same as it does for online gifts. You can also start from the Matching Gift page with Record a matched gift, and the Member and Payment pages show what each match has collected.

A clearer Payments list and Payment page

The Payments list opens with the total received for the period, and one set of labelled filters (search, period with custom dates, status, method, Campaign) replaces the old row of pills. Status colors mean one thing everywhere: green for money that arrived, amber for waiting, red for failed. A failed Payment now says why and whether Billing will retry it, and it no longer offers a receipt for money that never came in.

Every dashboard page, same pattern

Pledges, Memberships, Scheduled payments, Members, Matching Gifts, Campaigns, Posts, Reports, Settings, and the rest now follow the same layout: a summary figure up top where money is involved, labelled filters, and lists that work on a phone without sideways scrolling. Pledges show what is left to collect, Memberships show the monthly total, and Scheduled payments warn you when a payment has no payment method on file.

Why it matters

A lot of real giving still arrives as paper checks. Recording it should take seconds, and it should count everywhere it is supposed to, including the match that a supporter is waiting to fill.
